Position Summary:

To provide culturally and linguistically competent information, administrative support and reporting assistance to the Centro team in order to facilitate the access of immigrant families to Centro’s services.

The mission of Centro de Información is to empower Hispanics with the ability to effectively integrate into our greater community through the facilitation of information, education, citizenship and well-being. Centro provides immigration and naturalization services, employment aid, an emergency food pantry, educational seminars, public benefits outreach and advocacy and more. Centro has been serving in the community since 1972 and serves over 7,000 clients each year.

Each office location (Elgin, Carpentersville and Hanover Park) is open Monday through Friday from 9:00 am to 5:00 pm.

Elgin’s office address is 1885 Lin Lor Lane. Carpentersville office address is 3036 Wakefield Drive. Hanover Park office address is 1645 West Irving Park Road – Suite 100.

Duties

 

¨ Arrive promptly Monday through Friday 15 minutes before office opens to prepare office space (8:45 am)

¨ Answer phone and route calls, which includes taking messages, calling back clients as necessary to share information, confirming appointments and more.

¨ Schedule appointments for clients based on availability of agency program staff.

¨ Assist clients with completing forms and collecting documentation required for appointments with Centro case workers.

¨ Enter client and service information into agency information systems.

¨ Assist with planning and delivery of outreach activities and events, which includes distribution of Centro materials at community events, some of which may occasionally be held weekday evenings or weekends.

¨ Perform client follow up to collect information on Centro performance and program outcomes.

¨ Deliver clear communication with outside vendors and agency partners to sustain Centro operations, materials inventory and security.

¨ Maintain Centro office space well-organized and welcoming.

¨ Training for this position will take place in both Centro’s Elgin office and Carpentersville office. There is potential to share day shifts in both office locations with other Office Assistants.

¨ This position reports to the Welcoming Center Case Worker – Carpentersville and to the Assistant to the Director.

¨ Perform other duties as assigned

Qualifications

¨ Proficiently bilingual (Spanish / English – writing, reading, speaking), and bicultural

¨ High school diploma required; some college preferred

¨ One year office / administrative experience preferred

¨ Excellent organizational skills and ability to maintain detailed, accurate records

¨ Proficient in Microsoft Office programs, Google Suite and willing to learn other online platforms
